How Truckline Solutions Scaled from 30 to 140 Trucks in Under Two Years

Truckline Solutions started in April 2023 with 30 step deck trucks. Less than two years later, they're running 140 trucks hauling aircraft parts, oversized loads, and high-value freight across the country.

That kind of growth breaks most back offices. It didn't break theirs.

The Company

Truckline Solutions specializes in step deck trailers, handling some of the most demanding freight in the industry. Their portfolio includes aircraft engines, airplane parts, and oversized loads ranging from 12 to 16 feet wide that require escorts and police services.

"It's not easy," says Ellie, owner of Truckline Solutions. "These are very high-value loads. You have to pass a lot of requirements. Compliance to get all the permissions, you have to pass a lot of steps."

The company operates with clear division of responsibilities. Ellie handles business development, dispatching, and accounting while her partner manages fleet operations and safety. Their dispatch team works entirely in-house, not abroad, giving them direct control over customer relationships and load execution.

The Problem: Saturdays Lost to Manual Data Entry

Before Datatruck, Truckline Solutions ran on an older TMS that created constant friction for the team.

The dispatch team would collect loads throughout the week, then spend entire Saturdays manually typing everything into the system. Load details, rates, pickup and delivery information, all entered by hand. For a growing fleet handling complex freight, this wasn't sustainable.

"It was a lot of mess just because it was kind of old," Ellie explains. "My dispatch team, they collect the loads whole week, then Saturday or Sundays they sit here whole day uploading it. They have to do it manually, type it and all that."

The accounting side faced similar challenges. Building driver statements meant pulling data from multiple sources, calculating expenses manually, and hoping nothing got missed. With 100+ statements to process, errors were inevitable and time was always short.

The Switch to Datatruck

Ellie discovered Datatruck and reached out to learn more. The difference was immediate.

"I really love the system because it's easy, it's quick, and you have the clear numbers, you have a clear vision," she says. "It's easy for my team, dispatch team as well, because they don't have to keep it all for a whole week and they don't have to do this manually."

Now, dispatchers upload a rate confirmation and the system automatically populates all the details. Price, cities, pickup and delivery information, everything flows through with one click. No more weekend data entry sessions.

"Whatever they do, they just click the one button and it automatically uploads to the system. Then my accounting team, they see it. Safety, fleet, everybody."

Results That Changed Operations

The impact showed up across every department.

Driver Statements in 30 Seconds

What used to consume entire days now takes a fraction of the time. With fuel and tolls syncing automatically into the system, the accounting team builds statements without manual calculations.

"For me, 30 seconds and all statements are done," says a member of the accounting team. "I just need to check if everything is okay because all fuel coming automatically to the system, tolls coming automatically. Nothing manually, no calculators."

For 100+ driver statements, the team now completes everything in a day and a half, including signatures and transfer preparation.

Revenue Per Truck, Visible Instantly

Fleet owners need to know which trucks are making money and which aren't. Truckline Solutions can now see revenue per truck by week, month, or year without building custom reports.

"Anytime I need to see the numbers, I don't have to sit somewhere. I don't have to create something or build. I just need to open and see the numbers. That's it."

Empty Miles Tracked Automatically

Step deck carriers running partials face a constant challenge: pickups in one state, then another stop nearby, often with significant empty miles between. Tracking those empty miles manually is nearly impossible at scale.

Datatruck calculates empty miles automatically, showing exactly where costly routing decisions happened.

"Datatruck helps you see where a mistake was made," Ellie explains. "It's not like, 'I saw the dispatch made a mistake, I'm gonna punish them.' No, we discuss it and we solve. Hey, here there was the wrong decision. Next time you can do this. It will save you miles. It will save you time. It will save us money."

Maintenance Expenses by Truck

With 140 trucks, maintenance costs add up fast. The platform tracks all maintenance expenses by unit, so nothing gets buried or missed in the overall numbers.

Adding Fintruck for Complete Financial Visibility

After seeing results with Datatruck, Truckline Solutions added Fintruck for deeper financial management.

"The guys built it a very smart way. It's really great to work with two of those tools. It makes your life very easy."

Fintruck reports all expenses in one place, catching charges that might otherwise slip through unnoticed.

"Sometimes we have our bank account, you look on the phone and still you don't see properly. Sometimes we don't even see we get charged for something. Like $3,000, $2,000, it's gone but you miss that type of charges. Here I can easily see, 'Hey, this is not my charge,' and we call the bank and find out."

Quality Over Quantity

Truckline Solutions made a deliberate choice: grow with quality, not just quantity. They've seen other carriers scale to 500 trucks and lose control of their operations.

"It's not hard to grow that much, but it's hard to save the quality," Ellie says. "I don't want to be a company when people say, 'Hey, Truckline, no, it's just about the quantity.' I want to be a good company with quality when people are happy with you."

Having clear visibility into every truck's performance, every route's profitability, and every expense category makes that possible. Growth doesn't have to mean chaos.
